One platform. Your entire academy.

AcademyOne runs a martial-arts academy from the first enquiry to the black belt: students and families, ranks and gradings, classes and attendance, memberships and payments.

From enquiry to black belt

  1. Enquiry

Leads from Instagram, walk-ins and referrals, with where each came from.

  2. Trial

Book the free class, then follow up while they still remember it.

  3. Joined

One profile with family, emergency contacts and documents.

  4. Membership

Monthly, session packs, family plans and holiday freezes.

  5. Attendance

QR check-in at reception or from the instructor’s class list.

  6. Progression

Stripes, belts, kyu and dan, with every promotion kept.

  7. Competition

Teams, divisions and weight classes, then the results.

  8. Retention

See who has stopped coming before they cancel.

Your belts, your grades, your rules.

Generic gym software assumes a membership and a door. An academy also has ranks. AcademyOne understands progression rather than belt names, so every discipline you teach keeps its own system, and every promotion is kept with its date, instructor and notes.

A BJJ gym sets up belts and stripes
  • White, 0 stripes
  • White, 2 stripes
  • White, 4 stripes
  • Blue
  • Purple
  • Brown
  • Black
A karate dojo sets up kyu and dan
  1. 10th kyu
  2. 9th kyu
  3. 8th kyu
  4. …
  5. 2nd kyu
  6. 1st kyu
  7. 1st dan
  8. 2nd dan
  9. 3rd dan

Both are the same idea underneath: an ordered ladder with optional sub-levels. Add Muay Thai prajioud or a judo club’s mon grades the same way.

Before a grading, AcademyOne lists who may be ready, with time at rank and attendance beside each name. It suggests. Your instructor decides.

What AcademyOne covers

People

Students, parents and staff, each seeing what is theirs.

  • One parent account for several children
  • Family billing with its own discount
  • Owners, managers, instructors and reception with separate access
  • Documents with expiry dates: medical certificates, licences, consents

Operations

The timetable, the front desk and the money.

  • Recurring classes across locations and mats
  • Bookings, capacity and waiting lists
  • Memberships kept separate from payments, so “overdue” means overdue
  • Cash, card and transfer recorded against the right member

Progress

What happens on the mat, recorded for good.

  • Belt and grade history from the first class
  • Grading lists showing time at rank and attendance
  • Competition entries and results on the student’s record
  • Absence alerts before a student quietly drifts away

Open it in the morning. Know the day.

The first screen is a briefing, not a wall of charts: who is coming, who owes, whose certificate runs out, and who has not been on the mat for a fortnight.
